Privacy notice
This notice explains what personal information Waymakers Legal Services collects when you use this website, contact us by telephone or email, or send us an enquiry, and what we do with it. It is written to meet the UK General Data Protection Regulation and the Data Protection Act 2018.
In this notice, "we" and "us" means Waymakers Legal Services, the practice run by Zoe Turner and James Brittle.
Who is responsible for your information
Waymakers Legal Services is the data controller for information collected through this website and for the handling of your initial enquiry. Zoe Turner is a self-employed consultant solicitor with Woodstock Legal Services, and if you go on to instruct us, legal services are provided through Woodstock Legal Services. From that point Woodstock Legal Services Limited (authorised and regulated by the Solicitors Regulation Authority under number 614145) is responsible for the personal information held on your matter, under its own privacy notice, which we will send you with our engagement terms.
You can contact us about anything in this notice at info@waymakerslegal.co.uk or on 01202 156 246.
What we collect
When you send an enquiry through this website we receive the answers you give: where the property is, what you need help with, your role, how far the matter has progressed, whether there is a deadline, and the outcome you are hoping for, together with your name, email address, telephone number, organisation if you give one, and the details of your matter that you type in. Anything you tell us about your matter may include information about other people, such as a tenant or the other party to a dispute.
When you telephone or email us we keep the details you provide and a record of the conversation where it is relevant to your enquiry.
Our web server records the pages requested, the date and time, and the IP address and browser type of the device making the request. These logs are used to keep the site secure and working and are not linked to your enquiry.
If you accept analytics cookies on the banner, Google Analytics also collects anonymised information about how you use the site. Our Cookies page explains exactly what is set and how to withdraw your consent.
Why we use it and the lawful basis
We use your information to understand your enquiry, decide whether we can help, and respond to you. Our lawful basis is that this is a step you have asked us to take before entering into a contract, and our legitimate interest in running a legal practice and responding to the people who contact it.
Where an enquiry contains details about a legal dispute, criminal allegations or another person's circumstances, we handle that information because it is necessary for the establishment, exercise or defence of legal claims and for the purpose of obtaining legal advice.
We do not use your information for marketing and we do not sell or rent it to anyone.
Analytics cookies are used only with your consent, which you can withdraw at any time via Cookie settings at the foot of the page.
Who we share it with
Your enquiry is sent to us by email and stored on our web server so that nothing is lost. Both are hosted by providers acting on our instructions under contract: the web server is managed for us in the United Kingdom and our email is provided by IONOS. If you instruct us, the information you have given is passed to Woodstock Legal Services so that your matter can be opened and conflict and identity checks carried out.
If you have accepted analytics cookies, usage information is processed by Google (Google Ireland Limited and Google LLC) as our processor under Google's standard terms, which may involve storage outside the UK under Google's standard contractual safeguards. It is never combined with the details of an enquiry.
We will otherwise only disclose your information where the law requires it, for example to a court, regulator or law enforcement body, or where it is needed to protect someone's safety.
How long we keep it
If your enquiry does not lead to instructions, we keep it for twelve months so that we can respond if you come back to us, and then delete it. Server logs are kept for no more than 90 days. Information about clients and their matters is kept by Woodstock Legal Services in line with its retention policy and professional obligations, which is typically at least six years after a matter closes.
Your rights
You have the right to ask for a copy of the personal information we hold about you, to have inaccurate information corrected, and in some circumstances to have it deleted, to restrict how it is used, to object to our use of it, or to receive it in a portable form. Where we rely on your consent you may withdraw it at any time.
To exercise any of these rights, email info@waymakerslegal.co.uk. We will respond within one month. We may need to confirm your identity first.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would welcome the chance to put things right first.
Security
This website is served over an encrypted connection. Enquiries are stored on a server that only we can access, and the email account that receives them is protected by a password and two-step verification. No system is completely secure, and email in particular can be intercepted, so please do not send us information that would seriously harm you if it were seen by others until we have agreed a secure way to exchange it.
Children
This website is not aimed at children and we do not knowingly collect information from anyone under 18. If you believe a child has sent us information, please tell us and we will delete it.
